What we are looking for:
We are looking for an awesome and proactive Office Manager who can support us in our journey to become the world’s most remarkable brand for empowering shared-mobility businesses to design the mobility of tomorrow.
Some of the things that you can help us with:
Organizing, overseeing, and coordinating office administration and procedures, in order to ensure organizational effectiveness and efficiency. Ensuring the smooth running of an office on a day-to-day basis and may manage a team of administrative or support staff.
- Be the first point of contact for everyone entering the building, from staff, visitors, to clients and contractors.
- Handle employee inquiries and complaints regarding the office.
- Support employee lifecycle management processes such as joiners, leavers, absences, personal data changes, and job changes.
- Maintain and organize employee personal files and documentation.
- Create, monitor, and maintain office supplies inventory.
- Purchase office supplies, IT equipment and maintain proper stock levels.
- Schedule appointments, meetings and book meeting rooms if needed.
- Maintain the office condition and arrange necessary repairs, cleanings.
- Provide necessary Executive support to Directors and management including but not limited to assisting with planning and scheduling meetings, supporting with events etc.
- Manage relationships with vendors, service providers.
- Coordinate international travel, including flight, hotel, and car rental reservations for the employees in Vienna and employees traveling to Vienna.
- Develop and implement office policies by setting up procedures and standards to guide the operation of the office.
- Participate actively in the planning and execution of company events.
Qualifications that are important to us:
- Previous experience as an Office Manager
- Excellent organization and time management and the ability to multitask to complete a wide variety of tasks
- Proficiency in MS Office (MS Excel and MS Outlook, in particular)
- Excellent written and verbal communication skills
- Ability and willingness to use own initiative and be proactive
- Ability to build strong relationships with clients and suppliers
- Leadership ability to manage challenges and oversee employees
- Attention to detail to ensure tasks are completed thoroughly and correctly
- Strong interpersonal skills to interact positively with all employees
- A good knowledge of English, German is an advantage
